Terms and conditions
By using SAIS Events coordination services, you agree to the terms below.
-
Our role
SAIS Events is a coordination partner. We identify suitable expos, prepare and submit your application, and follow up with the organiser on your behalf. We are not the event organiser and we do not make selection decisions.
-
Coordination fee
Our coordination fee is set by mutual agreement between SAIS Events and the client. The amount and payment terms are agreed before any work starts. The fee pays for our coordination work. It is not a payment for approval, sponsorship or a place in any programme.
-
No guarantee of approval
SAIS Events does not guarantee direct approval for:
- Hosted buyer or VIP buyer programmes
- Joint venture programmes
- Paid, sponsored or partly sponsored trips
Selection is made only by the event organiser, based on their own criteria. These include your professional profile, company import and purchasing volumes, product interests, country, available spots and budget. The organiser's decision is final and cannot be appealed, by you or by SAIS Events.
-
Benefits are set by the organiser
Flights, hotel, passes and other benefits differ for each buyer and each event. Coverage may be full, partial or none. Only benefits confirmed in writing by the organiser apply. SAIS Events does not promise any benefit on the organiser's behalf.
-
Costs not covered
Any cost the organiser has not confirmed in writing is paid by the participant. This includes visa fees, travel insurance, meals, local transport and personal expenses. If you book flights or a hotel outside the organiser's official process, the organiser may refuse to refund them.
-
Accurate information
All company and personal details you give us must be true and complete. If an organiser rejects, cancels or charges you because of false information, you carry that cost. SAIS Events may also stop working with you.
-
Your obligations as a hosted buyer
If approved, you must follow the organiser's rules. These usually include attending for the required number of days, checking in with the organiser, completing the minimum number of pre-scheduled meetings, and not using the meeting platform to sell your own services. If you do not meet these rules, the organiser may withdraw your benefits and bill you for them.
-
Cancellations and no-shows
If you cancel or fail to attend after the organiser has paid for flights or a hotel, you must repay the organiser in full. SAIS Events is not responsible for these charges.
-
Passport and visa
You are responsible for holding a valid passport and getting the right visa. We can assist with invitation letters and guidance. Visa decisions are made by the embassy or immigration authority, and we do not guarantee a visa.
-
Personal and non-transferable
An approved place belongs to the named person. A replacement from the same company needs the organiser's approval, and any extra cost is paid by the client. Where several people from one company apply, organisers normally cover one representative only.
-
Event changes
Organisers may change dates, shorten, extend or postpone an event. SAIS Events is not liable for losses caused by these changes or by events outside our control.
-
Use of your details
You agree that we may share your company and contact details with event organisers to process your application. Organisers may publish your name, position, company, country, products and website in their event materials.
-
SAIS MatchMarket privacy
Conversations, meetings and deal rooms on SAIS MatchMarket are visible only to the two companies involved and to SAIS Events. SAIS Events can view them to support members, prevent fraud and settle disputes. Other members cannot see them. Vetted companies may appear in the public MatchMarket directory with their company name, type, location, products, buying needs and expos only. Contact details are never shown publicly and are shared only with registered members. Members can hide their company from the public directory at any time in their profile.
-
Non-circumvention
Every company, buyer, exhibitor or organiser that SAIS Events introduces to you, through SAIS MatchMarket, a deal room, a meeting, an expo registration or any other channel, is a SAIS introduction. For 24 months from the date of the introduction, you agree not to bypass SAIS Events by dealing directly with that party to avoid SAIS involvement or fees.
Any booking, purchase, partnership or deal that results from a SAIS introduction within those 24 months is a SAIS-introduced deal, and the agreed SAIS commission or fee remains payable, even if the deal is completed directly between the parties. SAIS MatchMarket keeps a dated record of every introduction, message, meeting and deal room as proof.
To protect members, phone numbers and email addresses are hidden in MatchMarket chats. SAIS Events shares contact details once a deal or booking is confirmed. Breaching this clause may lead to suspension from SAIS MatchMarket and SAIS programmes.
-
VIP Members Programme fee
The VIP membership fee is USD 300, paid once. There is no yearly renewal. The fee pays for our work to vet your company, assess your import and export capacity, and recommend you to organisers, manufacturers and buyers. Payment details are sent to you by SAIS Events after your application is received.
The fee is not a payment for approval, a hosted buyer place, sponsorship or any organiser benefit. Selection and benefits are decided only by each organiser, as set out in clauses 3 and 4. The fee does not include visa fees, flights, hotels or event passes, unless an organiser confirms them in writing.
Membership starts after your company has been vetted and your payment is confirmed. SAIS Events may decline an application that does not meet its standards, or that has false information, and will tell you if it does.
